The Academic Services Office (ASO) provides administrative coordination across the university for a broad range of key academic functions, aiming to better facilitate the development of university academia in pace with the expansion of the university. ASO’s main responsibilities include the administration and management of university schools/departments, academic administrative support for university major committees, organization of university large-scale events, recruitment and induction for academic staff, planning and supervision of learning and teaching procedures and academic funding scheme.

Main responsibilities

  • Academic Management Team: Provides front-line services to academic units and support to central operation. As the first point of contact in academic units, the team is responsible for dealing with day-to-day student and staff queries and external visitors; in partnership with central offices and units, its services cover a wide range of functions including administrative support to teaching and learning, quality assurance, committee services, events/activities support, management of systems, and other areas where coordination and support are needed.
  • Academic Planning Team: Develops and oversees the process of university strategic planning in regard to the academic operations, including new programme planning, review of existing programmes and operation of key academic funding schemes. The team also contributes to academic-related information communication, such as academic staff induction.
  • Committee Services Team: Responsible for providing professional service, support and training, either directly or indirectly, for University committees. They manage the university committee calendar and annual review the Terms of Reference for each committee. The team also provides training and support for committee student representatives, secretaries, and chairs.
  • Conferences and Events Team: Responsible for the organization of Academic Programme Information Session, Student Programme Choice related events (such as Explorer Session during bridging week, Academic Fair, and Career Talk), Summer Undergraduate Research Fellowship (SURF), Graduation Ceremonies. Beyond supporting student-centred academic activities, the team also supports on Academic conferences and events from the application process through to on-the-day support. They also manage and coordinate information related to the registration of external visitors.
  • Staff Management Team: The team is responsible for a range of staff management activities, most notable is the role they play in coordinating with HR in the recruitment of academic staff. The team also organizes and supports academic staff Induction, manages academic staff promotion processes and supports on the management of the Professional Development Review for academic staff.
